How To Book A City Of Cape Town Facility?
The City of Cape Town has plenty of excellent venues available for hire and with a range of different services, whether you’re hosting a private or community event. Our venues range in size, setting and atmosphere and include anything from libraries to recreation hubs to stadiums as well as cultural venues like Grand Parade and famous buildings like City Hall.

The venue-booking process is a manual one and varies from venue type to venue type. Select the venue you would like to book and contact the facility directly. Alternatively, you can select the facility type from our extensive list of service and recreational facilities.
** For strategic facilities such as City Hall or DHL Stadium, contact the Priority Assets Management Branch.
** For library bookings, you can contact the Library and Information Services Department.
Every facility has a booking process and you should always be fully aware of the documentation, forms and finances you will have to provide.
Below is the general procedure for booking a City facility:
Step 1:
** Find out as much as possible about the requirements for booking the venue, as well as how much it will cost to hire.
** You can make the booking and handle the payment processes over the phone.
** Once the date has been confirmed, you will be sent an invoice for the amount payable for venue hire.
Step 2:
** You will then have 30 days to make half of the payment upfront, as well as a refundable deposit to cover any damages.
** You will need to send proof of payment to the booking office that helped you or the venue itself, and only then will the booking be confirmed.
Step 3:
Once you have hosted your event, you will have 30 days after that to make the remaining payment. Once the payment has been made, your deposit will be refunded.
Booking a facility with our Recreation and Parks Department:
When booking a facility with our Recreation and Parks Department, you will need to follow a slightly different procedure.
Please visit our Recreation and Parks Department page for a list of facilities, select the facility you would like to book and then proceed with the following steps:
Step 1: Application
** Choose a suitable venue from our list of facilities on the City’s website and/or contact the relevant booking office to enquire about suitable venues, availability and the applicable tariffs (hire and refundable damage deposit).
** Bookings offices can be contacted telephonically, via email or by visiting the relevant walk-in centre. Ask the booking office for locations of walk-in centres and operating hours.
** Clients are encouraged to read and familiarise themselves with the conditions of hire. A breach of the conditions of hire can result in a deposit being withheld, the booking cancelled, or future bookings being denied.
** Once availability has been confirmed and a provisional reservation processed, the required documentation must be submitted within 14 days, for the booking office to generate an invoice for the amount payable.
Step 2: Payment
** Various payment options are available, as indicated on the invoice.
** A 50% part payment, of the total amount due, is required within 30 (thirty) days after a provisional reservation was processed. The remaining 50% should be paid 30 (thirty) days before the occupation date. If the period until the intended date of use is less than 60 days, the full amount is payable to secure the booking.
** Bookings are only confirmed once an official receipt is issued.
** Proof of payment must be submitted to the relevant booking office to obtain Booking Confirmation.
Step 3: Refund
** Requests for refunds will be initiated within one week of an event taking place, provided that all the required documentation has been submitted and no damages occurred.
** Refunds can take up to four weeks to be finalised.
